You’ve dispatched the load in TruckTA. Now you need to follow the pickup and delivery, record the invoice, and close out the balance when the money arrives. The load’s status, signed BOL, and payment record each tell you a different part of that story.
This guide follows the video “Track a load to delivery and get paid in TruckTA” in the same order. It covers the driver-app path and the web updates you can make yourself, then walks through billing and recording payment.
Find your load and check its progress
Start from the Dashboard. Type the Load ID into the search bar at the top. Your load appears as the top hit; select it to open the load.
The progress bar shows the load’s steps from Booked to Paid. In the video, the load is Dispatched, so pickup is the next step. Use that status to see where you’re starting before moving into the pickup paperwork.
You’ll use two tabs as you work through the load. The BOL tab is where you’ll find the signed BOL from the driver’s app workflow. Later, the Money tab holds the Payment card, invoice actions, and payment information. Start with the BOL tab: the load is dispatched, but its pickup still needs to be recorded.
Record pickup and check the signed BOL
Select the BOL tab. When your driver uses the TruckTA Driver App, the driver inspects the car at pickup and records photos, its condition, and signatures. That signed pickup BOL marks the load Picked Up, and you’ll find the BOL here in the web view.
That’s the app-based path: the driver completes the inspection and signed BOL, and the load moves to Picked Up. You can then look in the BOL tab for the signed document rather than treating the status alone as the whole pickup record.
If your driver doesn’t use the app, you can update the load yourself from the web. Select Mark Picked Up. TruckTA displays a warning that this action skips the signed pickup BOL. To continue with the manual update shown in the video, select Mark Picked Up anyway.
Mark delivery and check what’s missing
At delivery, the driver signs a delivery BOL in the TruckTA Driver App the same way. If you’re updating the load yourself, select Mark Delivered, then confirm with Mark Delivered anyway.
In the video’s manual-update example, the load becomes Delivered, with today shown as its actual delivery date. It is also Ready to Invoice. Check those details after the update so you can see the delivery status and date recorded on the load.
The BOL tab still needs a separate look. In this example, no BOL was signed in the app, so the tab says Missing. The load is Delivered and Ready to Invoice, but those statuses don’t mean a signed BOL is present.
Keep that distinction clear as you move to billing: the delivery update records the load’s progress, while the BOL tab shows whether the app-signed document is there. Next, open the Money tab to work on the invoice record.
Create or record the invoice
In the Money tab, the Payment card shows what the load pays, what’s been collected, and the remaining balance. Its main button points to the next step. At this point in the video, that button is Record Invoice.
Your billing route determines which invoice action to use. If invoicing is turned on in your Settings, Payment actions also offers Create Invoice. TruckTA drafts the invoice on your letterhead. You review that draft and email it from TruckTA.
Creating the invoice this way includes your review and email action. The draft is the starting point, not a statement that the invoice has already been sent.
If you bill through a broker portal or your own software, use Record Invoice instead. This is the path demonstrated in the video for recording billing handled outside TruckTA. You’re recording the invoice details on the load rather than using Create Invoice to draft and email it.
- Select Record Invoice.
- Choose how the invoice was delivered. For the broker-portal path shown, pick the portal and add the confirmation number.
- Review the fields TruckTA fills in: the amount, the date sent, and the due date from the load’s terms.
- Select Record Invoice to save the record.
The load is now Invoiced, with its due date. That completes the invoice-recording step, not the payment step. When the money arrives, you’ll record it separately through Record Payment.
Record payment and confirm the balance
When the money arrives, select Record Payment. Check the amount and the date, choose the payment method, and add the transaction reference. Then select Record Payment to save it.
Pay particular attention to the amount you’re recording. A full payment and a partial payment produce different results on the load, so the record should reflect what arrived rather than simply repeating the invoiced amount.
When the payment covers the remaining balance, the load becomes Paid and the balance is zero. The payment is also saved in the payment history. Those are the results to check after recording full payment.
If less arrives, TruckTA marks the load Partially Paid and keeps the rest outstanding. A recorded payment therefore doesn’t always mean the load is paid in full. Look at the resulting status and balance together.
Use your dispatched load to work through this sequence in TruckTA: find it by Load ID, check the pickup and delivery records, record the invoice through the appropriate billing path, and record payment when it arrives. Keep the status, BOL, and money record organized around that same load through to its final balance.
