01 · Loads in
Loads arrive the way they already do.
- The TruckTA Load Importer for Chrome brings one reviewed load at a time from Central Dispatch and Super Dispatch pages, and it lands unassigned.
- Smart Load Import reads a rate confirmation PDF and fills in the load for you to check before you save it.
- Import takes Loads, Drivers, Equipment and Accidents from CSV. Loads can use Do Not Overwrite Data, Overwrite Matching Data or Replace Full Data, and a Loads import lists the rows it didn't import as a CSV to download.
- Load Opportunities, a free add-on the Owner turns on, reads load emails from up to three Gmail, Outlook or IMAP inboxes, read-only.

02 · Trucks, trailers and drivers
Every truck, trailer and driver is a record, not a row.
- Equipment keeps every truck and trailer with its status, from Active and Repair to Out of Service and Sold, and the Vehicle capacity each trailer carries.
- The Assignments tab dates who drove each truck, and loads, fuel and settlements follow those dates.
- Registration, annual inspections, insurance and lease files carry their expirations, and one filter finds what is Expired, Expiring soon or Missing.
- Maintenance keeps Inspection, Repair and Maintenance records with service date, mileage and next due, and prepares a maintenance PDF to download.
- Drivers have a record too, with Qualifications, Safety, Pay and Files, from Applicant to Active.

03 · Money
Money follows the load, all the way to the truck.
- A delivered load that needs an invoice moves to Ready to Invoice by itself. Every load's payment stage comes from what your team recorded.
- Record invoices you send anywhere, or turn on invoicing and send numbered PDF invoices from TruckTA. Each invoice goes out only when someone presses Send, and automatic overdue reminders stay off unless you turn them on.
- Driver and owner settlements are built each week from delivered loads, deductions and adjustments, then go from Draft to Approved to Paid.
- Truck Summary ranks your trucks by gross, with what is paid and outstanding, and Finance Exports prepares the CSVs your accountant asks for.
- TruckTA records the money. It never moves it.

04 · Your team
Everyone signs in to the same company, in their own role.
- Invite staff by email from Settings > Users. The invitation lasts 7 days, and you can resend or cancel it.
- Six roles: Owner, Admin, Manager, Dispatcher, Accountant and Driver. Roles & Permissions turns permissions on or off for every role except Owner, which always has full access, from Change status to Run FMCSA lookups.
- Permissions are checked on the server as well, not only by hiding buttons.
- Drivers work in the TruckTA Driver App and fleet owners in the Owner Portal, each limited to their own work.
- Suspend login shuts a person out of every workspace at once, and pricing counts active trucks, not users or drivers.

The office on a phone
Staff open the same company website in a phone browser or the TruckTA app, where a bottom bar holds Home, Loads, Drivers and Equipment.
