- Create a load worksheet that lists each vehicle’s identification, estimated or documented weight, length, width, height, running status, and loading position.

4. Securement tools and loading controls
Securement equipment should be selected, inspected, staged, and replaced through a controlled process. Do not treat straps, chains, wheel nets, hooks, binders, chocks, edge protection, and anchor points as interchangeable without confirming that the planned system is suitable for the vehicle and trailer.
- Inventory the securement devices assigned to the unit and record damaged, missing, expired, contaminated, or questionable items for removal from service.

- Confirm the driver’s identity, contact information, and assigned fleet role.

The final part of car hauler trailer readiness is deciding what happens when the checklist cannot be completed. An escalation process should be specific enough that a driver or dispatcher can act without guessing who has authority.
- Classify the issue: equipment defect, capacity uncertainty, securement concern, documentation gap, customer-site hazard, or load-condition exception.
- Pause the affected activity when the issue could create a safety, rating, securement, or legal-compliance concern.
- Notify the assigned dispatcher and the designated fleet or safety contact using the company’s approved communication method.
- Record the facts: unit number, location, load, photographs if appropriate, inspection findings, customer instructions, and time of notification.
- Require a decision from an authorized person before continuing. The decision should be documented as repair, reload, substitute equipment, reschedule, unload, refuse the movement, or another approved action.

8. Final launch sign-off
Before putting the rig into service, the owner, fleet manager, or designated reviewer should sign off that the review is complete. The sign-off should identify the tractor, trailer, driver, intended load type, review date, open exceptions, and the person responsible for follow-up.
- Equipment configuration reviewed against the planned vehicle mix.
